Supervisor of Clinic staff

The Supervisor of Clinic Staff is responsible for supervising clinic business operations including daily staff assignments, development, evaluations, and replacement. The responsibilities also include billing, revenue cycle, analytics, patient relations, education, clinic business office support services and assisting the clinic director and faculty.

 

ORGANIZATIONAL RELATIONSHIP

  • Responsible to the assigned administrator and has a support responsibility to all other departments and college personnel as necessary.
  • Responsible for the direct supervision of department personnel and others as assigned by the appropriate administrator.

 

SPECIFIC DUTIES AND RESPONSIBILITIES

  • Supervise and monitor staff performance; develop and communicate improvement plan as required for individual staff.
  • Supervise and assess staffing levels of clinic and prepare hiring requisitions as needed. Evaluate resumes for open positions, interview candidates, and recommend final selection to Clinic Director.
  • Perform daily clinic opening/closing procedures, as assigned.
  • Supervise and oversee clinic information systems and electronic files. Remain current in the processes of the Clinic software program and actively assist in resolving difficulties reported.
  • Supervise and maintain current knowledge of all staff positions in the clinic and can provide assistance as needed.
  • Supervise and maintain functional inventory of clinic supplies; develop purchase requisitions in a timely fashion.
  • Responsible for the resolution of routine problems.
  • Supervise and manage the clinic staff including daily assignments, evaluations, discipline, job training and cross training, and continuous staff education.
  • Supervise and process account billings; perform routine accounts receivable and reconciliation.
  • Supervise, monitor and assist with new patient billing interviews; process new patient information and/or special payment plans;
  • Responsible for the timely and correctly completed daily posting and deposit. Provide financial reports as assigned by the Clinic Director.
  • Supervise routine clinic business operations; monitor clinic budget, monitor productivity, and initiate related improvement plans.
  • Maintain knowledge in and assist with the clearance process for the Director of Level III.
  • Initiate programs for continuous development and assessment of patient education programs.
  • Supervise and assure compliance with applicable government programs and provider contracts. Document and train staff on related issues.
  • Perform special assignments and/or projects on a routine basis in order to assess status of clinic.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Knowledgeable in all aspects of clinic business and function.
  • Ability to perform assigned duties with frequent interruptions and time pressures.
  • Ability to utilize necessary equipment.
  • Ability to maintain mental concentration for extended periods of time.
  • Ability to analyze and resolve routine problems.
  • Strong communication skills.

 

EDUCATION AND EXPERIENCE

Requires a two year degree; one year of work related supervisory experience, proficient knowledge of general bookkeeping procedures, word processing and bookkeeping software applications; experience may be substituted for education.

 

PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT

  • Performs sedentary to light work in a ventilated, lighted, and temperature controlled office setting.
  • Frequent need to stand, stoop, walk, sit, lift light objects (up to 10 pounds) and perform other similar actions during the workday.
