Receptionist and Accounting Data Entry Clerk

Greets guests and answers phone calls for company as Receptionist, conducts billing, maintains accounts receivable records, and other duties as assigned as the Accounting Data Entry Clerk.

Duties and Responsibilities:

Receptionist
o Professionally administers all incoming calls.
o Regularly reports to the office from 8-5, Monday through Friday, with 1 hour unpaid, scheduled lunch.
o Ensures phone calls are redirected accordingly.
o Greets guests in a professional, friendly, hospitable manner.
o Acts as backup office administrative assistant.
o Administers the customer’s community outreach program “Honor Rewards”.
o Conduct Net Promoter Score (NPS) calls to gather customer feedback.

Cash Application/Collections
o Applies customer payments.
o Researches and solves payment discrepancies.
o Processes credit card payments and credits.
o Adjusts accounts as needed.
o Prepares analysis of accounts, as required.
o Achieves and maintains rapport with customers and internal stakeholders and works to give them the best possible service.
o Conducts billing and places collections calls to customers.

Data Entry/Billing
o Enters billing data into the accounting system with a high level of accuracy and attention to detail.
o Performs month end close support, as assigned.
o Manages forms, products, and hardware inventory.
o Collects and enters timecard data into software for contracted workforce (as needed).
o Handle other business duties at the discretion of management

Physical or Special Demands:
This role will be required to walk, sit, stand, reach and bend in an office environment with moderate noise levels. Close vision and ability to adjust focus are requirements of this position.

Education and/or Experience and Technical Requirements:
· High School Diploma
· Associate degree in accounting or equivalent experience is preferred.
· Working knowledge of Microsoft Office Suite.
· Previous background should include demonstrated ability in customer service
· Familiarity with ERP/accounting software (Sage 100, preferred)
