Job Description

 

The Administrative Assistant I provides administrative and operational support to a designated department, ensuring efficient office operations, accurate recordkeeping, and responsive customer service. This position performs a variety of clerical and administrative functions, including preparing documents and reports, maintaining records, coordinating activities, and supporting departmental processes. Under the direction of the supervisor, the role supports adherence to established policies and procedures and contributes to a professional, service oriented work environment aligned with Eastern Iowa Community Colleges' values and standards.

 

Required Qualifications

 

Education:

 

• Associate's degree OR equivalent relatable experience required.

 

Experience:

 

• Experience using the Microsoft Office Suite.

• Proven ability to maintain confidentiality, exercise independent judgment, and build effective working relationships.

 

Knowledge & Skills:

 

• Strong written and verbal communication skills suitable for a diverse workforce.

• Strong organizational skills with a high degree of accuracy, attention to detail, and ability to manage multiple priorities.

• Ability to work collaboratively in a team environment and deliver high-quality customer service.

 

Preferred Qualifications

 

• Associate's degree in human resources or a related field preferred.

• Experience supporting a human resources department preferred.

 

Physical Demands

 

This position operates in a professional office environment and routinely uses standard office equipment including computers, phones, photocopiers, filing cabinets, and fax machines. The role requires the ability to lift and move up to 10 pounds occasionally, open and access filing cabinets, and bend, reach, or stand as needed. The position requires prolonged periods of sitting at a desk and working on a computer, as well as the ability to perform essential job duties with or without reasonable accommodation.

 

Typical Duties and Responsibilities

 

Core Duties and Responsibilities:

 

• Greets and directs visitors and provides routine information to staff, departments, and the public.

• Schedules meetings and activities; prepares correspondence, reports, spreadsheets, charts, and other documents to support departmental operations.

• Maintains department records and files, ensuring accuracy, organization, and confidentiality.

• Independently plans, prioritizes, and organizes a diverse workload and identifies opportunities to improve office processes and efficiencies.

• Assists with special projects and committee work, including research, coordination, documentation, and information tracking.

• Cross-trains with other staff to provide backup coverage as needed.

• Prepares purchase orders, personnel action forms, and travel arrangements; orders office supplies in accordance with budget parameters.

• Delivers high-quality internal customer service and models EICC's culture and values.

 

HR & Employee Relations (Area Focus)

 

• Provides administrative support to the Director of Human Resources and HR Generalists in support of HR initiatives and daily operations.

• Responds to employee inquiries by explaining HR policies and procedures or routing inquiries to the appropriate HR team member.

• Maintains accurate and complete personnel files in compliance with legal requirements, accrediting bodies, and EICC policies (e.g., credentials, transcripts, evaluations, growth plans).

• Assists with data tracking, reporting, and document preparation related to HR operations.

• Handles confidential and sensitive information with professionalism and discretion.

• Performs other duties as assigned.
